1) Patty Carey called the meeting to order around 3:15 pm, Thursday, January 15, 2004, The first order of business was an election of new officers. Doria Grimes, Judie Triplehorn, and Maria Latyszewskyj comprised the Nominating Committee and presented a slate to the members present. The positions to be voted on were Chair/Elect and Secretary (2 year office). Since there were two nominees for Secretary this time, an election was held by "paper" vote. Madeline Needles had agreed to be Chair/Elect, and Jean Phillips and Sheila Ray were the two nominees for Secretary. Obviously, Madeleine Needles won, and Jean Phillips was voted in as the new Secretary.
Susan Tarbell, Treasurer of ASLI, gave the Treasurer's report. There were 27 new members paid up to the conference. 6 more people joined at the conference. Susan read the deposits and debits of both the checking account and the savings account. The Savings Account has a total of $3,175.13. The Checking Account has a total of $454.79. Susan will renew our tax benefit which runs out December 2004.
Doria Grimes gave thanks to Jinny Nathans and Patty Carey for "co-chairing" this year's conference. Also small gifts were presented to Jinny, Patty, and Susan Tarbell.
2) Finances
a) Jinny talked about all our conference costs (a lot this year), about becoming professional members, and carrying more of our weight. ISI and Swets Blackwell will reimburse us for the morning coffee breaks at $350.00 each.
b) Jinny asked us all if we enjoyed the vendors and should there be any changes made. We all agreed that we liked all the vendors, and no changes needed to be made. Jinny will start calling the vendors in the spring to book support. We thanked Cambridge Scientific Abstracts (MGA publisher) profusely for our wonderful dinner they sponsored on Wednesday night.
c) We all discussed different conference fees we felt were fair and necessary. Madeleine made a motion that the conference fees for the 2005 ASLI conference will be: $15.00 for students; $40.00 for 1 day conference; $50.00 preregistration for member; $60.00 for onsite registration; and $75.00 for registration for nonmember. Maria seconded.
d) The dues will remain the same. Corporate membership dues were tabled for the time being.
3) Susan made a motion to have ASLI dues due the end of the Conference of that year. Maria seconded.
4) Discussion was held on having grants for some conference attendees. After much discussion, it was decided this topic would be tabled. Evelyn Poole-Kober is going to gather information on the legalities of this.
5) ASLI's future, promoting our objectives.
a) Attending the ASLI conference allows the member to attend the AMS exhibits and some presentation of papers. We receive a directory of all members once we become a member of ASLI ourselves.
b) We need to establish our own domain down the road. Also need to utilize the list serve (web site) better, such as discussing what was talked about at the ASLI conference. This would possibly help those who could not attend the conference for one reason or another.
c) We could send out a survey to prospective members to ask if they know about ASLI. If they do, why haven't they joined? Jinny is putting more stuff about us in the Bulletin of the American Meteorological Society (BAMS). Another idea was to list (according to ASLI) what the best book of the year was that had been reviewed in BAMS. Jean Phillips, Evelyn Poole-Kober and Judie Triplehorn are heading this up.
Patty reviewed the Bylaws as they were written in the original make-up of ASLI. She wanted to remind us all of what our purpose was in having an atmospheric science librarians international group.
The business meeting was adjourned at 4:30 pm.
